Cancellation and Refund Policy

This page has been prepared to explain the cancellation and refund terms for education, consultancy, academic preparation programs, online courses, seminars, summer/winter school guidance services, and similar services offered by Uçar Eğitim Danışmanlık ve Ticaret A.Ş. / Unitedwords.

1. General Principles

The services offered by Unitedwords consist of education, consultancy, academic preparation, application guidance, online courses, individual lessons, group lessons, seminars, and similar services.

Cancellation and refund requests are evaluated according to the nature of the registered program, the start date of the service, whether the service has begun to be delivered, and the special program conditions shared with the parent/student.

Before making a payment, the parent/student is responsible for reviewing the scope, duration, fee, cancellation and refund terms, and any special conditions of the program to be registered for or the service to be received.

2. Right of Withdrawal

For services purchased through distance sales, the parent/student may have the right of withdrawal within the scope of the applicable legislation. Provided that the delivery of the service has not yet started, the parent/student may exercise the right of withdrawal and submit a cancellation and refund request within 14 days from the date of payment.
 

To exercise the right of withdrawal, the cancellation/refund request must be submitted to Unitedwords in writing.

3. Cancellation and Refund After the Service Has Started

If the delivery of the service has started with the approval of the parent/student, no refund will be made for the service already provided. The following situations are considered as the start of the service:
 

  • The first meeting related to the consultancy process has been held,

  • Student-specific academic planning, country/university/department research, or the application process has been initiated,

  • The participation link for an online lesson, seminar, or group lesson has been shared and the program has started,

  • Student-specific materials, analysis, reports, application plans, or educational content have been prepared,

  • The first lesson, meeting, or service step within the purchased program has been carried out.
     

Cancellation requests made after the service has started will be evaluated by taking into account the services provided and the preparatory work completed by Unitedwords up to that date.

4. Group Lessons and Education Programs

For scheduled programs such as SAT, IELTS, AP, IB, academic preparation programs, group lessons, seminars, and similar services, the cancellation and refund terms are as follows:
 

  • Cancellation requests made before the program starts are evaluated within the scope of the registration and cancellation terms specified for the relevant service.

  • No refund will be made after the program has started.

  • The student’s failure to attend lessons, absenteeism, or voluntary discontinuation of the program does not create a right to a refund.

  • If changes to the planned program schedule become necessary, Unitedwords may offer students an alternative lesson date, a make-up lesson, or another solution deemed appropriate.

  • Since capacity is limited in group lessons, the place reserved for the student after registration is considered closed to another student. Therefore, no refund will be made for cancellation requests submitted after the program has started.

5. Consultancy Services

For personalized services such as overseas education consultancy, application consultancy, career/education planning, summer/winter school consultancy, and similar services, the process is structured specifically according to the student’s profile, goals, and application plan. Therefore, in consultancy services, no refund will be made if any service step has been initiated, including but not limited to the first meeting, file opening, student evaluation, strategy development, school/program research, application planning, or similar service steps.
 

If different cancellation/refund terms are included in a special agreement or proposal text, the relevant special terms shall apply.

6. Individual Lessons and Special Studies

For individual lessons, private academic support, exam preparation lessons, essay/personal statement work, portfolio guidance, or similar student-specific studies, cancellation and refund terms are evaluated according to the nature of the service.
 

If the student does not attend a scheduled individual lesson or meeting, whether the lesson or meeting will be rescheduled is determined according to the special conditions of the relevant program.
 

If student-specific preparation, research, content creation, academic evaluation, or application work has been carried out, no refund will be made for the relevant service.

7. Processing of Refunds

If the refund request is approved, the refund will be processed through the original payment method.
 

For payments made by credit card, the time it takes for the refund to be reflected on the card may vary depending on the bank and the payment service provider. For installment payments, the way in which the refund amount is reflected on the card depends on the practices of the cardholder’s bank.
 

Unitedwords is not responsible for refund reflection periods arising from banks or payment service providers.

8. Cases Outside the Scope of Refunds

No refund will be made in the following cases:
 

  • The service has started with the approval of the parent/student,

  • The student does not attend the lesson, meeting, or program,

  • The student is absent or voluntarily discontinues the program,

  • The parent/student is unable to access the service due to providing incorrect or incomplete contact information during registration,

  • Student-specific content, research, planning, reports, application work, or academic preparation has been carried out,

  • The parent/student unilaterally withdraws from the service after the program has started,

  • Payments made to third-party institutions, exam centers, universities, summer/winter school providers, or similar organizations that are outside the control of Unitedwords.

9. Force Majeure and Program Changes

Program dates may be changed in cases of force majeure, such as natural disasters, illness, technical issues, instructor changes, schedule changes caused by institutions, or other circumstances beyond the control of Unitedwords.
 

In such cases, Unitedwords may offer an alternative date, a make-up lesson, or another solution deemed appropriate to ensure that the service is completed in the most suitable way possible.

When submitting a cancellation or refund request, the parent/student must provide their full name, contact information, payment date, the registered program or service received, and an explanation regarding the refund request.
